This page informs you of our policies regarding the collection, use and disclosure of Personal Information when you use our Service. We will not use or share your information with anyone except as described in this Privacy Policy.
We use your Personal Information for providing and improving the Service. By using the Service, you agree to the collection and use of information in accordance with this policy. Unless otherwise defined in this Privacy Policy, terms used in this Privacy Policy have the same meanings as in our Terms and Conditions, accessible at https://coachbox.app
Legal Basis for Processing
We process your Personal Information under the following legal bases as defined by the General Data Protection Regulation (GDPR):
- Contract performance: Processing necessary to provide you with the Service you signed up for (e.g. account creation, workout scheduling, athlete management).
- Legitimate interest: Processing necessary for our legitimate business interests, such as improving the Service, ensuring security, and preventing fraud, provided these interests do not override your rights.
- Consent: Where you have given explicit consent, such as subscribing to marketing communications. You may withdraw consent at any time.
- Legal obligation: Processing necessary to comply with applicable laws and regulations.
Information Collection And Use
While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to, your email address, name, phone number, postal address, other information ("Personal Information").
The Coachbox mobile app and your health data
The Coachbox app for iOS and Android can import your workouts from Apple Health (iOS) and Health Connect (Android). This section explains how we handle that data.
What we read. Only after you give access, and only the data types you allow: completed workouts with sport, start time and duration, GPS route, heart rate, power, speed, distance, cadence and calories. On Android we also read workouts older than 30 days, so your coach can see your training history from the start. The app only reads this data. It never writes to or changes anything in Apple Health or Health Connect.
Which sources. We import workouts recorded by Apple Watch and by the apps of the watch brands you connect in Coachbox, such as Zepp (Amazfit), Samsung Health and OHealth (OnePlus). We do not send other data from Apple Health or Health Connect to our servers.
Why. To show your workouts in Coachbox, and to let you and the coaches you connect with plan and analyse your training. We process this data based on your explicit consent (GDPR Article 9(2)(a)), which you give in the permission screen of Apple Health or Health Connect.
Who can see it. You, and the coaches and teams you belong to in Coachbox. We do not sell health data, do not use it for advertising and do not share it with data brokers.
AI features. If your team has turned on AI features, workout data can be sent to Anthropic, our AI provider, to generate feedback on a workout. Anthropic does not use this data to train its models.
Storage and security. We store this data on our servers in Frankfurt, Germany, and it is encrypted in transit.
Stopping and deleting. You can withdraw access at any time in the settings of Apple Health or Health Connect, and we then stop importing. Workouts that were already imported stay in your Coachbox account until you delete them or ask us to delete your account (see "Rights of the user").
Instagram comments and messages
When you comment on a post or reel of @coachbox on Instagram, we can answer automatically: with a reply under your comment and with a direct message (DM). This section explains which data we use for that.
What we use. Your Instagram username and the ID Instagram gives us for you, your comment, the messages between you and @coachbox, the buttons you tap and whether you open a link we send. When a conversation asks you to follow @coachbox, we also check whether you do. If a message asks for your email address and you give it, we store it too.
Why. To answer your comment, send you what you asked for, and count how many people reach each step of a conversation so we can improve it. We do this based on our legitimate interest in answering people who contact us (GDPR Article 6(1)(f)). An email address you give us, we use based on your consent (GDPR Article 6(1)(a)).
Who can see it. Only the Coachbox team. We do not sell this data, do not use it for advertising and do not share it with other parties. Instagram itself, part of Meta, processes your messages under its own privacy policy.
Stopping. Send STOP in the conversation and you never receive an automated message from us again. We keep only your Instagram ID and the date of your request, so we can keep honouring it.
Storage and deleting. We store this data on our servers in Frankfurt, Germany. Want us to delete it? Mail us (see "Rights of the user") and we remove your conversations, the data linked to them and your email address.
Log Data
We collect information that your browser sends whenever you visit our Service ("Log Data"). This Log Data may include information such as your computer's Internet Protocol ("IP") address, browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages and other statistics.
In addition, we may use third party services such as Google Analytics that collect, monitor and analyze this type of information in order to increase our Service's functionality. These third party service providers have their own privacy policies addressing how they use such information.
Cookies
Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer's hard drive.
We use "cookies" to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.
When you first visit our website you can accept or decline these cookies through the banner we show. You can change that choice at any time through the cookie settings link at the bottom of every page.
Service Providers
We may employ third party companies and individuals to facilitate our Service, to provide the Service on our behalf, to perform Service-related services or to assist us in analyzing how our Service is used.
These third parties have access to your Personal Information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
Communications
We may use your Personal Information to contact you with newsletters, marketing or promotional materials and other information that may be of interest to you. You may opt out of receiving any, or all, of these communications from us by following the unsubscribe link or instructions provided in any email we send.
Compliance With Laws
We will disclose your Personal Information where required to do so by law or if we believe that such action is necessary to comply with the law and the reasonable requests of law enforcement or to protect the security or integrity of our Service.
Business Transaction
If T3 Technologies BV is involved in a merger, acquisition or asset sale, your Personal Information may be transferred. We will provide notice before your Personal Information is transferred and becomes subject to a different Privacy Policy.
Security
The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.
International Transfer
Your information, including Personal Information, may be transferred to, and maintained on, computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from your jurisdiction.
If you are located outside Belgium and choose to provide information to us, please note that we transfer the information, including Personal Information, to Belgium and process it there.
Your consent to this Privacy Policy followed by your submission of such information represents your agreement to that transfer.

Our Service may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party's site. We strongly advise you to review the Privacy Policy of every site you visit.
We have no control over, and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

How long are your data being stored

Data protection

Data Breach Notification
In the event of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify the Gegevensbeschermingsautoriteit (GBA) within 72 hours of becoming aware of the breach, as required by GDPR Article 33. If the breach is likely to result in a high risk to your rights and freedoms, we will also inform you directly without undue delay.
Children's Privacy
Our Service does not address anyone under the age of 13 ("Children").
We do not knowingly collect personally identifiable information from children under 13. If you are a parent or guardian and you are aware that your Children has provided us with Personal Information, please contact us. If we become aware that we have collected Personal Information from a children under age 13 without verification of parental consent, we take steps to remove that information from our servers.
Changes To This Privacy Policy
